Since 1989, our services have centered around providing comprehensive medical care to women in a friendly and professional manner. We are currently hiring for the following positions:
Certified Medical Assistant
We are seeking an experienced, trained, highly motivated, and patient-friendly Certified Medical Assistant (CMA) to assist with the evaluation, management, and treatment of patients in an Obstetrics and Gynecological outpatient practice. The CMA assumes responsibility for maintaining patient flow, the upkeep of the exam rooms and equipment, and performing basic clinical skills.
Duties and responsibilities include:
- Coordinating and marinating organized patient flow.
- Performing patient intake: Vital signs, height and weight, reason for visit, interim history, allergies, medication lists, and other interventions as required.
- Preparing patient for the exam based on the reason for the visit.
- Assisting physician with Ob/Gyne procedures.
- Performing necessary lab work and administering injections, urine pregnancy tests, and other waived tests.
- Maintaining a call back system for lab test results.
- Ensuring that all instruments and equipment are prepared for daily operation.
- Preparing patient charts.
- Scanning medical records into the EMR; using accuracy on all documentation
- Maintaining medical and lab equipment and supplies.
- Maintaining accurate daily specimen reconciliation vs orders manifest
- Following proper infection control techniques
- Providing cross coverage to other clinical areas as assigned.
- Participating in quality improvement projects.
- All other duties as assigned
Knowledge, Skills, and Abilities
- Current Clinical Medical Assistant Certification
- Two years experience working in a physician office or outpatient hospital setting is required if there has been no formal medical office assistant training.· Experience in CPT coding, ICD-10 coding and medical office forms preferred.
- Computer skills required· Excellent telephone and filing/office administration skills.
- Strong interpersonal skills with a caring and compassionate demeanor.
- Ability to use discretion and confidentiality at all times.
- Must be able to resolve conflicts immediately with cooperation and positive attitude.· Must conform to office protocol in all means and manner.

Nurse Triage
We are seeking an experienced, trained, highly motivated, and patient-friendly Triage Nurse (RN/LPN) to work in the nurse triage department, which may also include the evaluation, management, scheduling and treatment of patients in a busy Obstetrics and Gynecological outpatient practice.
Duties and responsibilities include:
Knowledge, Skills, and Abilities
- Telephone Triage:
- Ability to handle emergency phone calls and direct patient care immediately with MD assistance.
- Ability to handle non-emergency routine medical phone calls and give medical advice and information, as well as identify which patients need to be seen by or speak with MD.
- Proficient with triage manual and prescription refill protocol.
- Assist in scheduling inductions and cesarean sections along with maintaining induction board.
- Knowledge of process for coordinating surgical procedures at the hospital as well as outpatient procedures. Communicates with business office for precertification
- Maintain patient portal, i.e. “Ask a Nurse” and “Med Request”
- Must be HIPAA compliant and maintain all HIPAA privacy practices at all times.
- Maintain clinical manuals
- Assist in call back of normal and abnormal labs.
- Manage the phone calls and follow up as needed.
- Familiar with injections for all patient types (i.e. ectopic pregnancies, etc.), and methotrexate protocol.
- Complete special projects designated by MD. For example: Coordinate home health care, direct home healthcare professionals and communicate with MDs coordinate special procedures (late D&Es, special appointments, organize PICC line.)
- Assist with handling patient complaints and follow-up.
- Be able to respond to medical emergencies if needed.
- Maintains all pharmacy requests once approved by MD or NP.
- Follow up each morning on urgent lab list for daily hit list.
- Create appointment recalls.
- Follow prescription refill protocols.
- Other duties as assigned.
QUALIFICATIONS:

Education/Experience
- Current CPR certification required.
- Current State of Illinois Registered Nurse/LPN Licensure required.
- Experience requirement: Two years’ experience working in a physician’s office or outpatient hospital setting required.
- Previous experience with office administration, CPT coding, ICD-10 coding and Electronic Medical Records required.
- Previous OB/Gyne experience preferred.

Patient Services Representative
Our Northbrook OB/Gyne office is seeking a friendly, outgoing, personable, highly motivated, and professional Patient Services Representative to perform a variety of administrative tasks related to the front desk operations of a dynamic clinic.
Duties and responsibilities include:
1. Performs day-to-day administrative functions and general office duties including but not limited to copying, faxing, scanning documents into EHR, answering phones and data entry.
2. Calls patients to confirm appointments as needed.
3. Welcomes and greets patients/clients/visitors to the department in a manner that is helpful and friendly; determines purpose of visit and direct patients/clients/visitors to appropriate person or department.
4. Collect patient’s financial agreement form
5. Verify benefit notations and collect payments and process transaction
6. Schedule return/follow up office visits using WGON policies for all appointment types, including recalls, labs and procedures as well as rescheduling and correcting scheduling errors.
7. Create appropriate links/reminder notices to appointments using various practice resources.
8. Rescheduling and correcting scheduling errors.
9. Fax/mail/secure email documents as instructed by patient
10. Collect appropriate copay/coinsurance and/or self-pay payments from patients processing credit/debit cards. Upload confirmation and forms in patient chart
11. Post payments collected into patient account daily.
12. Record payment receipts in spreadsheet, reconcile receipts (payments) and batch payments at the end of each shift.
13. Issue parking validation to patients and visitors.
14. Collate OB Packages (patient education information and give-a-ways) and keep a ready supply of packets for issuing to new obstetrical patients.
15. Collate and keep a ready supply of various patient registrations forms and patient specimen cups.
16. Answer telephones/switchboard operations routing calls, providing WGON information and managing patient request.
17. Check voicemail messages, portal messages and take appropriate action (i.e. call back patient, schedule appointment, forwarding message information to intended recipient, etc.)
18. All other duties/responsibilities as assigned
Education/Training: Experience
High School Diploma or equivalent
Basic computer literacy: Windows operating system, Microsoft
Outlook, Word and Excel
Two years’ experience in a physician office or medical/clinic setting as a patient services representative/receptionist/appointment clerk
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
Familiar with some medical terminology
Excellent organizational skills
Ability to communicate effectively verbally and in writing
